This job will keep you constantly on your toes. The ideal candidate needs to be prepared for anything on any given day and to be able to approach the challenges with a "go-getter" attitude, taking initiative and ownership of their role. It is vitally important that the candidate has a knack for professionally and intuitively communicating with a wide variety of people. In this role, it's imperative that the candidate is able to think on behalf of the Studio Country Manager, analyze all the data in order to problem-solve and/or make sound decisions.


● Minimum 2-3 years of experience in a Personal/Administrative Assistant role, preferably within a small business environment or an equivalent combination of education and experience.
● Strong organizational skills with the ability to multitask and prioritize effectively
● A solution-oriented mindset with a keen sense of business acumen, motivation paired with a ‘can do’ attitude
● Excellent interpersonal and communication skills, with the ability to interact effectively with all levels of the organization as well as with the external providers/stakeholders
● Proficiency in English
● Good knowledge of Microsoft Office tools
● Ability to liaise with individuals at all levels, both internally and externally.
● Proven ability to handle multiple projects and meet deadlines
● Strong interpersonal skills and higher emotional intelligence
● Strong work ethic, a sense of integrity, trustworthiness, and the ability to maintain a high level of confidentiality
● Tact and diplomacy skills
● Good judgment with the ability to make timely and sound decisions
● An assertive, self-motivate personality who is willing to take on new challenges
●Proficient in using relevant software and technology for calendar management, communication, and financial payments
● Work collaboratively with other team members to ensure seamless coordination and support
● Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment
● Strong and firm commitment to daily work activities
● Strong sense of vision, strategy, and innovation
● Availability for occasional business trips is necessary
● Excellent communication and interpersonal skills

Responsibilities and Duties

Executive support:

  • Provide comprehensive execution and support to the Studio Country Manager, by managing schedules, appointments, and commitments.
  • Prepare service agreements or any documents requested by the Studio Country Manager.
  • Act as a gatekeeper, managing communications and correspondence effectively.

Office management

  • Ensure that all office equipment (hardware, appliances, furniture, etc.) is operational for the company’s headquarters.
  • Purchase office supplies (stationery, consumables, etc.) and manage inventory levels.
  • Handle the repair process of any hardware.
  • Manage software subscriptions.

Logistical coordination

  • Coordinate and arrange travel itineraries, accommodations, and transportation for everyone within the company.
  • Coordinate and manage events, meetings, and appearances, and ensuring a smooth execution.

Finance, budget and Inventory management

  • Submit and reconcile expense reports or other financial transactions.
  • Manage payments and receipts.
  • Prepare and manage the weekly/monthly budget in collaboration with the finance department.
  • Review and manage the monthly invoices.
  • Maintain supplies inventory by regularly checking stock levels

Health, Safety, and Wellness

  • Support the development and implementation of workplace health and safety programs as requested by the current regulations.
