What you will do
If you enjoy being the right-hand who is involved in a business’s internal operations and work closely with one of our founders, thrive in a fast-paced environment, and would love the adventure of providing top-notch remote assistance to an executive, this role could be the perfect fit for you.

This job will keep you constantly on your toes. The ideal candidate needs to be prepared for anything on any given day and to be able to approach the challenges with a "go-getter" and positive attitude, taking initiative and ownership of their role. It is vitally important that candidate has a knack for professionally and intuitively communication with a wide variety of people. In this role, it's imperative that the candidate is able to think on behalf of the Executive, analyze all the data in order to problem-solve and/or make sound decisions.

Key Responsibilities
☆ Provide comprehensive execution and support to the Executive, by managing schedules, appointments, and commitments:

  • Review and prioritize tasks;
  • Follow-up on to-do’s & action items;
  • Schedule adequate focus time and book required meetings;
  • Reschedule things where required due to travel and short-term conflicts;

☆ Act as a gatekeeper, managing communications and correspondence effectively:

  • Monitor Slack & emails and generate tasks where appropriate;
  • React to scheduling-related Slack & mail to make required schedule changes;

☆ Help set and review goals:

  • Handle weekly reporting and check-ins;
  • Help organize quarterly goals cadence;
  • Report consolidation;
  • Track and monitor major projects and relevant KPIs;

☆Logistical coordination:

  • Coordinate and arrange travel itineraries, accommodations, and transportation;
  • Coordinate and manage events, meetings, and appearances, and ensuring a smooth execution;

☆ General administrative tasks and ad-hoc requests as they may arise.

You possess a great ability to solve problems with ruthless attention to details and prioritization skills, extremely organized, able to handle the complexities and provide high level confidential support. You are also proactive, resourceful and able to manage a wide range of tasks with efficiency and a high degree of professionalism.

About you - Personal Executive Assistant profile
● Bachelor's degree in Business Administration/ Management/ Marketing or a related field preferred
● Minimum 2-3 years of experience in a Personal/Executive Assistant role, preferably within a small business environment with marketing exposure /or an equivalent combination of education and experience
● Strong organizational skills with the ability to multitask and prioritize effectively
● A solution-oriented mindset with a keen sense of business acumen
● Excellent interpersonal and communication skills, with the ability to interact effectively with all levels of the organization as well as with the external providers/stakeholders
● Proficiency in English; German is a plus
● Ability to liaise with individuals at all levels, both internally and externally
● Proven ability to handle multiple projects and meet deadlines
● Strong interpersonal skills and higher emotional intelligence
● Strong work ethic, a sense of integrity, trustworthiness, and the ability to maintain a high level of confidentiality
● Good judgment with the ability to make timely and sound decisions
● Highly disciplined personality
● An assertive, self-motivate personality who radiates positivity and is willing to take on new challenges
● Proficient in using relevant software and technology for calendar management, communication, task organization
● Work collaboratively with other team members when needed to ensure seamless coordination and support
● Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment
● Strong and firm commitment to daily work activities
● Strong sense of vision, strategy, and innovation
● Availability for occasional business trips is necessary
