Your tasks:

  • Responding to and directing incoming purchasing-related calls professionally.
  • Welcoming visitors with a friendly, professional demeanor.
  • Creating and managing new vendor and article records in the ERP system, ensuring accuracy and regular updates of vendor and article data.
  • Providing administrative support across multiple departments, including inventory planning, engineering, production, and warehousing.
  • Generating purchase orders as requested by the lead buyer and maintaining thorough records of supplier order confirmations, including price updates, added costs, and delivery timelines.
  • Assisting the warehouse team by creating Inter-Branch Transfers (IBTs) and receiving materials within the ERP system.
  • Requesting quotes and coordinating transport arrangements (groupage, sea, and air cargo), ensuring proper documentation accompanies each shipment.
  • Processing all incoming logistics invoices and credit notes accurately and efficiently.
  • Staying informed on relevant legislation, such as Incoterms, VAT regulations, customs requirements, and payment modalities.
  • Managing vendor complaints and collaborating closely with the purchasing department to foster proactive vendor relationships.
  • Serving as a knowledgeable resource for purchasing, production, engineering, and warehouse colleagues, addressing queries and providing support.
  • Following up on outstanding parts with suppliers and creating quotes for new or existing articles as part of backup support for the inventory planner.
